Management Committee


Six key roles of the Management Committee

 

The management committee takes final responsibility for the pre-school.  This responsibility is shared by each member of the committee.  The committee members need to ensure that:

 

1.     The pre-school works effectively towards its aims as set out in its constitution, and that it has a clear sense of direction


2.     Money and other resources are:

-       managed properly

-       used to help the pre-school work towards its aims

-       used for the purpose they were given


3.     The pre-school is accountable to funders and members


4.     All activities are legal


5.     People working for the pre-school as staff and volunteers are properly supported and managed


6.     The committee manages itself properly


Any committee member can act as the public face of the committee and represent the group at public events and meetings.

Committee Officer Roles

Chairperson 
  • Responds to emergencies and liaises with committee members to make interim decisions between meetings
  • Chairs meetings and ensures they are effective
  • Sets agenda for meetings with secretary
  • Ensures that decisions are fair and reflect the aims of the group AND the wishes of members
  • Line manager of key staff
  • Supports and authorises the work of Treasurer and Administrator
  • Usually has casting vote in dispute
  • Signatory on accounts
  • Receives bank statement and, at intervals, checks that amount banked, etc, corresponds to amounts signed for.
Vice Chairperson 
  • Provides support for the role for the chairperson and steps into their role in their absence
  • Responds to queries from committee members or staff
  • Chairs committee meetings in the absence of the chairperson and is counted as a committee officer for the purpose of a quorum in the absence of the chairperson
  • Liaises with committee members to make interim decisions regarding the pre-school and responds to emergencies between meetings in the absence of the chairperson
Secretary 
  • Provides support for the role of the chairperson
  • Takes minutes of meetings and ensures signed as accurate
  • Arranges venues for meetings
  • May also arrange venues for trips and visitors into the group
  • In consultation with chair draws up and circulates an agenda before meetings
  • Advises everyone of time, date and venue of meetings
  • Receives, and responds where appropriate, to correspondence on behalf of the group
  • Prepares letters for chair’s signature
  • Keeps records of all correspondence
Treasurer 
  • Prepare in advance a budget for the year
  • Open and maintain the group’s bank accounts
  • Present a report at the A.G.M on annual receipts and payments
  • Make recommendations to the group on finance

 

The Administrator assists in each of the tasks above. 

There are also a number of additional tasks which are delegated to the Administrator.
